Who we are
BXT Solutions, a sole proprietorship located at Grootzeil 13, 3891 KH Zeewolde, the Netherlands, registered with the Dutch Chamber of Commerce under number 92942962, is responsible for the processing of personal data as described in this privacy policy. Who this policy applies to
This policy applies to visitors of our website, people who contact us and our customers.
Visiting the website
When you visit our website, technical data such as your IP address, the time of your visit and your browser type are recorded by our hosting provider in server logs. We use this data to keep the website secure and available. The legal basis is our legitimate interest in securing our website. The hosting provider keeps these logs for a short time only. We do not use analytics tools, advertising cookies or tracking technologies. More about this is in our cookie policy.
Contact and enquiries
If you contact us through the form, by email, phone or WhatsApp, we process your name, email address, phone number (if you provide it), the service you are interested in and your message. We use this to answer your question and to prepare a quote or proposal. The legal basis is that you ask us for this information, which covers the steps needed before we enter into an agreement. Enquiries through the form are sent to us by email and also kept as a backup copy on our server. If no agreement follows, we keep your data for a maximum of 12 months after our last contact.
Customers and agreements
If you enter into an agreement with us, we process your name or company name, contact person, address, Chamber of Commerce number, VAT number, email address, phone number, invoice details and, when you pay by direct debit, your IBAN and the details of your mandate. We use this to perform the agreement, send invoices, collect payments and keep our administration. The legal bases are the performance of the agreement and our legal obligations. We keep this data for up to 7 years after the agreement ends, because we must comply with the statutory tax retention period.
Search results and Google Search Console
We use Google Search Console to see which search terms lead people to our website. We receive summarised data from Google about searches and impressions. No cookies are placed on our website for this and we do not receive data about individual visitors.
Newsletters
We do not currently send newsletters. If we start doing so in the future, we will ask for your consent beforehand and you can unsubscribe at any time with one click. We will then update this policy.
Who we share data with
We only share personal data with parties we need to deliver our services, and only as far as necessary. With parties that process data on our behalf, we make agreements about how they handle that data. These include: Hostinger (hosting, email and the contact form), Google (receiving email through Gmail and Google Search Console), Stripe (payments and direct debit) and the provider of our accounting software (invoicing and administration). Stripe also processes data under its own responsibility, for payment processing and fraud prevention. Stripe's privacy policy applies to that processing. We never sell your data and do not use it for third-party advertising.
Transfers outside the European Economic Area
According to our information, our website is hosted on servers in the Netherlands. Some of our partners, such as Google and Stripe, may process data outside the European Economic Area, for example in the United States. They do so on the basis of an adequacy decision of the European Commission, such as the EU-US Data Privacy Framework, or on the basis of standard contractual clauses.
How long we keep data
We do not keep data longer than necessary for the purpose we collected it for. Enquiries without an agreement are kept for a maximum of 12 months after the last contact. Customer and invoice data are kept for up to 7 years after the agreement ends. Technical logs of the hosting provider are kept for a short time only. After that the data is deleted or anonymised.
How we protect data
We take appropriate technical and organisational measures to protect your data. Our website is only available through a secure connection (https). Access to data is limited to those who need it and we keep our systems up to date. If you notice a problem or suspect misuse, contact us right away at info@bxtsolutions.nl.
Data breaches
If, despite our measures, a data breach occurs that poses a risk to you, we report it to the Dutch Data Protection Authority within 72 hours and inform you if the breach poses a high risk to you.
Your rights
You have the right to access your personal data, have it corrected or deleted, restrict the processing, object and transfer your data. If you gave consent, you can withdraw it at any time. Send your request to info@bxtsolutions.nl. We respond within one month. To prevent misuse we may ask you to identify yourself. If you are not satisfied with how we handle your data, please contact us first. You also have the right to file a complaint with the Dutch Data Protection Authority (Autoriteit Persoonsgegevens) at autoriteitpersoonsgegevens.nl.
Required data and decision making
You are not obliged to provide data to us, but without your name and email address we cannot answer a contact request, and without the data for an agreement we cannot perform it. We do not make decisions based solely on automated processing and we do not create profiles of visitors.
Changes
We may change this privacy policy, for example when we offer new services or involve other parties. The most recent version is always on this page. For significant changes we inform our customers.
